Executive Search Firm Monroe Consulting Group Philippines is recruiting on behalf of one of the leading healthcare distribution companies for a Warehouse Operations Manager. The role will focus on day to day warehouse operations of medical device and pharma products and will manage a team of 10 to 12 headcount. S/he will report to the Head of Operations. Work setup is onsite at Pasig City from Mondays to Fridays from 8am to 5pm.

Key job responsibilities include:

Service Level Efficiencies

  • Sets high customer service expectations, monitors performance, and takes corrective actions to address gaps.
  • Collaborates with internal and external customers to drive supply chain and operational solutions.

Warehouse Management

  • Manages budgets and resource allocation.
  • Ensures compliance with documentation practices, manufacturing standards, and regulations.
  • Implements quality control for inventory accuracy and damage prevention.
  • Adheres to health, safety, and cleanliness regulations.

Transport Solutions

  • Manages transportation operations, including budgets, schedules, and vehicle compliance.
  • Implements strategies to improve shipping efficiency, reduce costs, and meet delivery standards.
  • Evaluates and provides optimal transportation solutions for customers.

Data Management & Governance

  • Enforces data governance policies and empowers the team in data management.
  • Recommends IT tool enhancements for better sales operations efficiency.

Performance Results Management Reporting & Analysis

  • Understands reporting needs and translates them into KPIs and business-specific reports.
  • Ensures timely and accurate performance reports and provides insights.

Sales & Operations Planning Process (S&OP)

  • Analyzes demand and supply variability by category, brand, and SKU.
  • Reviews stock situations for business decisions and seeks management approval for actions.
  • Discusses supply risks with teams to minimize top-line risk.

Demand and Purchasing Planning

  • Develops forecast models based on sales trends and forecasts.
  • Collaborates with Finance to finalize monthly Purchase Plans.
  • Reviews inventory levels with Finance before finalizing the PO plan.
  • Proposes strategic purchasing actions based on business opportunities and limitations.
  • Manages importation processes to comply with Customs policies.

Inventory Management and Monitoring

  • Ensures compliance with ideal inventory levels per SKU.
  • Oversees timely stock replenishment to prevent out-of-stock situations.
  • Monitors and reports on inventory freshness.

Order Processing, Releasing, and Billing

  • Oversees Customer Service team to ensure timely and accurate order processing.
  • Manages consignment billing to hospitals.

Customer Data Maintenance

  • Supervises customer maintenance activities in company systems for compliance and completeness.

External Customer Interface

  • Ensures the availability of the Customer Service Hotline for issues.
  • Resolves customer service concerns to prevent order rejections and maintain service levels.

People Capabilities Building & Development

  • Conducts goal setting and performance discussions to clarify objectives and identify gaps.
  • Develops staff capabilities for job competency and potential growth.
  • Coaches and guides direct reports on performance.
  • Recommends development plans and career paths for direct reports.

Key job qualifications include:

  • Bachelor's Degree
  • At least 5 years' experience in warehouse operations
  • At least 2 years' experience in healthcare distribution
  • has strong understanding of Good Manufacturing Practices (GMP), Good Distribution Practices (GDP), and other relevant regulations such as ISO 13485 and FDA guidelines.
  • proven track record in effectively managing complex supply chains within the medical device and pharmaceutical industry.
  • expertise in implementing and maintaining quality control procedures, conducting regular audits, and driving continuous improvement initiatives.
  • experience in implementing lean principles, process optimization, and automation initiatives.
